# Create stock products

Stock products can be used to sell physical goods that require inventory tracking, such as food, beverages and merchandise (eg pizza, coffee and t-shirts). Stock can also be used as add-ons to upsell guests when they purchase products online.

This guide walks through how to create a stock product including any variations and how to manage stock with limited quantities. Variations are available on a [Pro plan](https://www.roller.software/pricing/) and above.

> [!NOTE]
> Stock items can be added as upsell items to your products and experiences in the online checkout. They can also be sold as standalone products online in your progressive checkouts and at POS. We recommend using **stock** instead of **add-on** products if you want to track inventory.

## Get started and add basic details

To create your stock products, follow the steps below to enter the basics:

1. From Venue Manager, go to **Products** > **Stock** > **All stock**.
2. Select **Create stock**.
3. Enter a **Name.** The name can specify the type of product, allowing you to offer multiple variations under one main product. For example, you could name the main product **Coffee** or **Jump Socks** and then define its varieties like flavor or size. See below for how to add varieties.
4. Include a short description (recommended) or select **Provide a detailed description** (optional). This description will display when a guest selects the stock product in the [online checkout](/v1/docs/create-your-online-checkout) and the [mobile food & beverage checkout](/v1/docs/create-your-food-beverage-f-b-checkout).
5. Upload an **image:**
  - JPG and PNG formats up to 1 MB in size. The image is cropped to an aspect ratio of about 5:3. The best image size to upload is 640 x 390 pixels.
  - Select **Upload File** and select the file from your desktop.
  - Pull and drag the crop marks to frame your image. Anything with a dark overlay will be cropped out.
6. Add tags (learn more below)
7. Select **Save.**

### Add your tags

[Product tags](/v1/docs/create-and-organize-product-tags-in-venue-manager) are used to group similar products together, and they can be used to filter and categorize your products. You can then add stock products to your [mobile food & beverage checkouts](/v1/docs/prepare-for-mobile-food-beverage-f-b-ordering) by tag.

For example, you may want to sell the following stock products in your mobile food & beverage checkout: Coffee, Tea and Hot Chocolate. If you assign each of these products the same tag (**Hot drinks**) and then add them to your mobile food & beverage checkout in one go.

You can also add more than one tag to your stock product. For example, coffee can be tagged as **Hot drinks** and also **Snacks**.

To attach tags to a stock product:

1. Under the **Stock details** and **Tags**
2. Start typing the name of the tag and select an existing tag or create a a new one.
3. Select **Save**.

> When you add a group of products to your checkout by tag, any new products with this tag will automatically be added to your checkout.

### Add any variations

Variations indicate differences in size or flavor. For example:

- **Name of product**: Coffee
  - **Variety name**: Small
  - **Variety name:** Medium
  - **Variety name**: Large
- **Name of product**: Soda
  - **Variety name**: Cola
  - **Variety name**: Lemonade
  - **Variety name**: Creaming soda

To create a variety, follow the steps below:

1. Select **+ Create variation**
2. Set the variety **name** and **price**.
3. If you have an **Unlimited** quantity, check the box. Otherwise set the **Qty** and **PAR Qty** levels (the minimum amount of crucial inventory to keep on hand).
4. To add another variety, select **Add another variety** and repeat steps 1 and 2 above.
5. Select **Save**.
6. Use the drag and drop handles to reorder the variations to display the most relevant ticket options first in the checkout.

> Once you save a variety, you can't delete it. But you can edit it.

### Configure advanced settings for each variety

You have the option to further customize each variety. Follow the steps below to update advanced settings for each variety:

1. Select the variation and select the **Advanced** link.
2. Add a **Variation image** for the particular variety.
3. Set a **user defined cost.** Use this option if you want to enable POS operators to enter a price for the variation you're creating.
4. Select **Hide from online sales** if you don’t want to sell this variety in your mobile food & beverage checkouts. This is particularly useful for HQ-managed venues, who may not sell all stock variations created for an HQ product. HQ-managed venues can still add the product to their venue, and then choose which variations display in their mobile food & beverage checkouts.
5. **Override** **reporting category** (GL code) to add a specific category for the variety.
6. Assign a **Barcode ID** to each variety. You can scan the Barcode ID directly into this text box or type it in manually.
7. Add the **Cost of Goods** (COGS) for each variety. You must enter this if you'd like to use the [**Cost of Goods**](/v1/docs/cost-of-goods-report) report, which shows the sales, associated costs and margins of stock items.
8. Select **Tax override** if you'd like to override the default.

> Barcode IDs must be unique and are case sensitive, any letters contained in the barcode ID **must be** lowercase.

### Set the print station (optional — for legacy printing)

Set the print station for the [production dockets](/v1/docs/set-up-docket-printing-using-roller-connect) to print to. Follow the steps below.

1. Go to your computer's **Control Panel**.
2. Find out the exact name of your printer and enter it into the field.
3. If you use this setting, enable the **Production** **dockets** setting in your [POS device settings](/v1/docs/manage-individual-pos-device-settings).
4. Select **Save**.

### Configure additional options

In additional options, configure reporting category a tax override and flag whether an item is food or beverage item.

1. Scroll to **Additional options.**
2. If applicable, select **Reporting category** and select the category / GL code from the drop down. These [reporting categories are configured in Reports settings](/v1/docs/set-up-and-manage-reporting-categories-and-gl-codes).
3. Use the drop down **Stock type** to classify the item. Adding the stock type helps your venue report on food and beverage, retail and miscellaneous items and their performance in the [Stock Sales report](/v1/docs/stock-sales-report).
4. If you wish to apply a different tax rate to the default on this item select Tax override and select rate from the list. These rates are configured in the [tax and fees settings](/v1/docs/adjust-your-tax-and-fees).
5. Select **Save**.

## Edit and manage stock items

### Add to a checkout or POS menu

- To sell online as an add-on to an existing product, link the stock product as an add-on in the [product's additional options](/v1/docs/get-started-with-products). Then add the product to the checkout and POS.
- To sell as a standalone product online, add the stock product your [checkout](/v1/docs/welcome-to-progressive-checkouts).
- To sell at your venue, add your stock product to [a POS menu.](/v1/docs/create-your-pos-devices)

### Edit your stock products

Stock products are located in their own area in Venue Manager. To find and edit them after you've created them, follow the steps below.

1. From Venue Manager, go to **Products** > **Stock** > **All stock.**
2. Search for and select the stock product that requires updating.
3. Make any changes to the stock product details and varieties.
4. Select **Save**.

### Manage quantity on hand

This applies to stock that has a quantity on hand (**Qty**) set in the stock product variety configuration. To manage your stock quantity follow the steps below.

1. From Venue Manager, go to **Products** > **Stock** > **All stock.**
2. Search or scroll down to the stock product that requires updating.
3. Select the options menu (3 dots) and select **Update quantity.**

### Archive stock products and variations

Archive and restore stock products and variations in Venue Manager to keep your stock list concise and organized. Archived items are removed from POS and online checkouts but stay visible in product reporting.

To archive a product or variation:

1. From Venue Manager, go to **Products** > **Stock** > **All stock**.
2. Search or scroll down to the stock product that requires updating.
3. Select the **options menu** (3 dots) and select **Archive**.
4. If the product has variations, you’ll see a pop up prompting you to select whether you want to archive the entire product (including all variations) or just that variation of the product only. Use the toggle to make your selection.
5. Select **Archive**.

Alternatively, to archive a variation you can do this within the edit product page:

1. Scroll down to the **Stock variations** section.
2. For the variation you want to archive, select the **options menu** (3 dots) and select **Archive**.
3. Select **Save** to lock in your changes.

To unarchive a product or variation:

1. From Venue Manager, go to **Products** > **Stock** > **All stock**.
2. At the top of the list, from the **Status** drop-down, select **Archived**.
3. Search or scroll down to the stock product that requires updating.
4. Select the **options menu** (3 dots) and select **Unarchive**.
5. If the product has variations, you’ll see a pop up prompting you to select whether you want to unarchive the entire product (including all variations) or just that variation of the product only. Use the toggle to make your selection.
6. Select **Unarchive**.

**When you unarchive a stock variation, the SKU code (barcodes) field is wiped.** Re-enter the SKU code before selling the variation again.
