Headout sells from your live ROLLER availability, and every Headout booking comes into Venue Manager with your other bookings. Use this guide to decide whether Headout suits your venue, see what's different about it and know what to expect once you're selling. To connect it, see the guide [Set up and connect OTAs](/v1/docs/set-up-and-connect-an-ota). > [!CAUTION] > Advanced Channel Management add-on > > To connect to Online Travel Agents (OTAs), you need the **Advanced Channel Management** add-on. It covers every OTA available in ROLLER, and you can add it to any plan. > > You pay a small percentage of your OTA booking revenue, billed monthly after the bookings happen, so there’s nothing to pay upfront. > > If you're the [account owner](/v1/docs/manage-staff-accounts-and-key-venue-contacts), you can add it yourself. From Venue Manager, go to **Settings** > **Channel management** > **Advanced Channel Management** and select **Add now**. Review the cost and terms, then select **Agree and add**. > > [Learn more](https://www.roller.software/pricing/) ## Why sell on Headout Headout puts your tickets in front of guests choosing what to do in the places they visit. - **Sell on a curated marketplace.** Headout picks the experiences it lists and presents them as quality things to do. - **Let Headout market your listing.** Headout merchandises, markets and optimizes its listings, and shows them in its search, city pages and category pages. - **Build trust with verified reviews.** Headout says guests book with confidence because of its verified reviews. - **Keep everything in ROLLER.** Your prices and availability stay in ROLLER, every booking comes into Venue Manager and Headout sales show in your channel partner reports. > [!NOTE] > Browse [headout.com](https://www.headout.com) to see how guests find and book experiences like yours. ## Connect Headout to ROLLER Create your Headout Hub account with the same business and contact details you use in ROLLER. Headout uses them to match your venue when it maps your products. > [!NOTE] > The [permissions](/v1/docs/permissions-by-feature-and-role) required to connect Headout and set up its products are **Can access external service settings**, **Can create products** and **Can edit products**. The administrator role has all three enabled by default. The manager role has the two product permissions by default. Once you have your Headout Hub account, you'll: 1. Activate Headout in Venue Manager and copy your **API key**. 2. Create your products for Headout sales. 3. Turn on **Sell** for Headout in each variation, with its prices and a **Reseller Type**, the ticket type guests see on Headout (eg Adult or Child). 4. Send your API key through the [Headout Hub help center](https://hub-help.headout.com/hc/en-us). Headout then maps your products. 5. Make a test booking, or check the first real one. If you manage several venues from HQ, you can create your session passes and standard passes at HQ. Then, in each managed venue, add the **Advanced Channel Management** add-on, activate Headout and turn on **Sell** for it in each variation. HQ doesn't support OTA connections yet. > [!NOTE] > For the steps, see the guide [Set up and connect OTAs](/v1/docs/set-up-and-connect-an-ota). ## Manage Headout bookings When your team knows which changes Headout handles, they can answer guests straight away. In Venue Manager, you can cancel a Headout booking, add POS notes and edit the booking holder's guest record and each ticket's details (eg the name or photo). The booking's items are locked. Headout manages refunds and changes to the booking. ### Follow a booking when a guest changes it When Headout changes a booking, ROLLER updates the same booking, so the Booking ID stays the same and staff find it where they expect. If the new time isn't available in ROLLER, Headout can't make the change. ### See who's coming ROLLER adds the guest details Headout sends to the booking, and adds a name to each ticket when Headout sends one. Check your test booking to see which details Headout shares, so your team knows what to expect. ### Find a Headout booking The **External booking ID** is Headout's own reference for the booking, when Headout sends one. You'll find it in the booking's header in Venue Manager, and you can search for it in Venue Manager or POS. ### Report on Headout sales Headout sales show in the same reports as your other OTAs, so you can compare them side by side. 1. From Venue Manager, go to **Reports** > **All reports**. 2. Open **Booking Item Sales by channel partner** or **Product sales by channel partner**. To see only Headout bookings in another report, select Headout in its **Companies** filter. ROLLER creates the Headout company record when you activate Headout. These reports have the filter: - **Detailed Transactions** - **Detailed Product Sales** - **Attendance** - **Ledger Summary** - **Revenue Recognition** > [!NOTE] > To check what Headout owes you, see the guide [Report on and reconcile OTA bookings](/v1/docs/report-on-and-reconcile-ota-bookings). ## Get more bookings from Headout Guests book what they can find and trust: open dates, a clear listing and good reviews. You set up some of that in ROLLER and the rest in Headout Hub. In ROLLER: - Keep your sessions scheduled well ahead. Any gap in your schedule shows as unavailable on Headout. - Sell every ticket type you offer. Headout accepts every **Reseller Type** (eg Student or Family), so your concession tickets can sit in the same product. In Headout Hub, use Headout's tools and guidance to make your listing clearer and more complete, and add any missing details before you go live. Its performance insights show how your listing is doing. ## Contact the right team Sending each question to the team that can act on it gets you an answer sooner. | Your question is about | Contact | | --- | --- | | Your Headout Hub account | Headout | | Your listing's photos and content | Headout | | Mapping a product | Headout | | A refund, date change or payout | Headout | | Activating Headout or your API key | ROLLER | | Products, prices or **Sell** in a variation | ROLLER | | A Headout booking or report in Venue Manager | ROLLER | > [!NOTE] > For questions about ROLLER, contact your customer success manager or the [support team](/v1/docs/contact-roller-support). ## FAQs **Where do I change my Headout listing?** In Headout Hub. Headout manages your listing's photos and descriptions there. Your prices and availability come from ROLLER. **Can I connect several venues to one Headout account?** Most OTAs need a separate account for each venue. Ask Headout whether it can link more than one venue to your account before you set up a second venue. Either way, each venue activates Headout and sends its own API key. **Can I sell a VIP or premium ticket on Headout?** Yes, as its own product. Headout lists ticket types (eg Adult or Child) within a product, so a second version of the same ticket needs a separate product in ROLLER. **How do I switch to ROLLER from another booking system?** Headout moves your connection to ROLLER, since most OTAs won't connect to two systems at once. Ask Headout how long the switch takes. **How do I stop selling a product on Headout?** Turn off **Sell** for Headout in each variation and save. Headout can take up to an hour to update. To archive the product, turn off **Sell** in every variation first. > [!NOTE] > For questions about every OTA, see the guide [OTA FAQs](/v1/docs/channel-management-faqs).
