Build guest segments once at HQ and push them to every managed venue automatically. Standardize how you define VIPs, lapsed guests, members or local guests across your group, and use those segments anywhere segments are needed (from marketing campaigns to discount restrictions) without setting them up venue by venue.
This guide shows you how to create a segment at HQ, what happens when it's pushed to your managed venues, and how venue staff can use it.

When to use HQ guest segments
Use HQ guest segments when you want to:
- Standardize how you define guest groups across your venues. Set up "VIPs", "lapsed guests" or "members" once at HQ instead of repeating the same rules in every managed venue.
- Run group-wide campaigns from a single source of truth. Marketing campaigns and segment-based discount restrictions all draw from the same HQ segment definition, so audience targeting stays consistent across venues.
- Keep segment criteria under central control. Venue staff can see HQ segments and use them, but only HQ admins can edit them. This stops well-meaning local edits from drifting away from the group standard.
Managed venues keep their own venue-level segments alongside HQ segments for venue-specific needs.
Permissions
Control who can create and manage HQ guest segments by assigning these permissions to staff roles. Both permissions are required.
- Can manage HQ guest segments
- Can access segment settings
Included by default in administrator system roles, and any custom roles based on the administrator role. To enable them for other staff, create a custom role.
Set up a guest segment at HQ
To set up an HQ guest segment:
- From Venue Manager at your HQ, go to Guests > Segmentation > Segments.
- Select Create segment, or open an existing segment to edit.
- Add rules based on guest attributes such as lifetime spend, visit frequency, last booking date or membership status. You can combine multiple rules to create a precise audience.
- Select Save.

What happens after you save
When you save a segment at HQ, ROLLER pushes it to every managed venue automatically. A few things happen in the background:
- The segment appears in each managed venue's segments list with an HQ label, so venue staff can see at a glance which segments are managed centrally.
- ROLLER maps existing guests at each managed venue to the new segment based on the rules you've set, so the segment is ready to use right away.
What managed venues see
Once a segment is pushed, venue staff can view and use the HQ segment, but cannot edit it.
- View and use: venue staff can apply an HQ segment as a discount restriction, sync it to Campaign Monitor or export it to CSV.
- No local edits: rule changes flow from HQ only. This keeps the segment consistent across your group.
- Local segments still work: managed venues can keep creating their own venue-level segments for venue-specific needs. Guests can belong to multiple segments at once, including both HQ and venue-level segments, so they're always included wherever they qualify.
Use an HQ segment to restrict a discount
Use an HQ segment to restrict a discount so only specific guests can redeem it. This is useful for rolling out a VIP-only deal across all venues, or a member-only promotion that stays consistent group-wide. Both HQ users and managed venue users can apply HQ segments as discount restrictions.
