Reduce queues and eliminate manual paperwork with integrated digital waivers that you can encourage guests to sign before they arrive. Digital waivers are an effective way to protect your venue from liability and ensure a faster, more efficient entry process.
Customize your waivers to meet your venue's specific needs and provide them in multiple languages. Once created and linked to products and activities requiring them, you can integrate them into your waiver signing and entry ticket redemption processes.
Additionally, all completed waivers are stored in ROLLER, providing a valuable source of guest information, and linked to the guest record for future visits.
This guide will show you how to customize and preview your waiver agreement in Venue Manager, with some further resources provided to help you operationalize the waiver process.

Create the waiver agreement
Follow the steps to create the content, and terms and conditions, of your online waiver agreements.
- From Venue Manager, go to Documents > Waiver > Waiver Details > Unlock to make changes.
- Name your waiver (eg "ROLLERVERSE waiver"].
This name will be included in your guest-facing online waiver form, as well as the subject line and content for the automatic waiver completion confirmation email. For example, "Thank you for signing [ROLLERVERSE waiver]".
- [Optional] Add an optional full-width image at the top of the waiver (~660 pixels wide) for key information.
- Type in the details for your waiver agreement.
- [Optional] Add checkboxes to require guests to agree to the terms before signing. Use the following capitalized text in square brackets for each term you want them to agree to.

- Type [CHECKBOX] at the beginning of the sentence.
- Type [/CHECKBOX] at the end of the sentence.
Add alternative language versions
You can create translated content for your waiver agreement and then add it as an alternative language version. This helps to remove confusion caused by language barriers, streamline ticket redemption and improve the overall guest experience.
- From Venue Manager, go to Documents > Waivers > Waiver details > Unlock to make changes.
- Select Add language version at the top right.
- Choose a language, then enter the waiver name and content in that language.
When guests open your waiver online, ROLLER automatically shows it in their device's language, so long as you've added that language version to the waiver agreement. Guests can also choose their preferred language when signing the waiver from a language drop-down.
Delete a language version
You can delete additional language versions of the waiver agreement. Select the Delete language button at the bottom of the language version you want to remove.
Customize your waiver settings
From here, you have several options to customize your waiver settings. These settings affect how guests complete the waiver and apply to all language versions you’ve created.

Require a signature | Choose if you require guests to sign the waiver digitally. If it's not selected, guests select a button to complete the waiver. |
Waivers include minor(s) by default | If enabled, when guests sign a waiver, the option to add a minor will be pre-selected. This makes it clearer to parents and guardians that they need to add details for both themselves and any minor(s) attending. |
Display expiry date on signed waiver | Decide if the waiver's expiry date should be visible on the signed agreement. |
Send waiver expiry reminder email to guests | Opt to send reminder emails to guests 2 weeks before their waiver expires.* |
Valid for | Enter how many days the waiver is valid for, starting from the signing date. |
Minimum age to sign waiver | Specify the minimum age for signing the waiver. For younger guests, a parent or guardian must complete it. |
* Important: ROLLER venues have a limit of 5,000 emails per day. If you're transferring waiver data from another system and you assign the same expiry date to more than 5,000 waivers, you'll exceed this email limit and some guests won't receive reminder emails. To avoid this, spread out the expiry dates in smaller groups, such as setting the same expiry date for only 4,000 waivers at a time. This ensures all guests receive their reminders.
Capture additional guest data
By default, a waiver captures the guest email, name and date of birth (and each minor's name and date of birth) which is stored against the guest record in ROLLER. You can also capture additional data by using a custom form.

Capture address | When this option is selected, an address field is added for guests to complete. The address is saved against the guest record (not the signed waiver), which has the guest name, email address and phone number. The address field does not appear if you're using a custom waiver. |

Save your wavier
Once satisfied, select Save & publish new waiver to save your waiver or make any updates live. If you're updating an existing waiver, you’ll see options to expire all existing waivers or only save the waiver.
Setting | Description |
---|---|
Expire all existing waivers | Use this option only if major changes or new legal requirements are in place.This means all guests who signed previously will need to sign again. IMPORTANT: This action can't be undone and will invalidate previous waivers. All guests will need to sign a new waiver when redeeming tickets in venue. |
Only save waiver | This updates the waiver for new guests without affecting existing waivers. Existing signed waivers will not be expired. They also are not updated to reflect any changes. |

Preview your waiver
To preview how your waiver looks and works, follow these steps:
- From Venue Manager, go to Documents > Waiver > Waiver details.
- Select Get waivers link at the top right.
- Copy the Online waivers link and paste it into a new browser tab.
- Fill out the waiver as if you're a guest to test it.
You can also add this online waiver link to a button on your website for guests to sign a wavier at any time, even before a booking is made. Find out more in the guide Get waivers signed by guests.
Configure online waiver settings for assigning waivers at POS
You can require that your staff assign a waiver to tickets prior to redeeming (& printing) guest tickets at POS.

Add waivers to products
One you've created your waiver, you're ready to add it to products that require them. You can do this in the product's settings when creating your products or editing exiting products.

Get waivers signed
Guests are automatically prompted to sign waivers after purchasing products that require them through:
- Online checkouts after purchasing products requiring waivers
- Order confirmation emails
- Text/email waiver requests sent from the booking in Venue Manager
- Booking reminder emails and party package waiver reminder emails (which can be enabled per product)
Guests can also sign anytime from a link on your website or on-site using QR codes or kiosks.

Waiver confirmation email for guests
Once a waiver is signed successfully, guests automatically receive a waiver completed email confirmation, with a link to print their waiver as a PDF.
View guest waivers in Venue Manager
You can easily view and manage completed waivers in Venue Manager. If linked to a booking or a booking holder, you can see how many waivers have been signed directly from the booking. Waivers are permanently stored in ROLLER and are not deleted.

Assign waivers when redeeming tickets at POS
When redeeming tickets at POS, you can search for signed waivers to assign them to bookings that include products that require them.

Redeem bookings with waivers for large groups
You can use a mass redemption function to simplify ticket redemptions for large groups. When enabled, staff can redeem batches of tickets at one time, rather than individually. The mass redemption function will bypass the requirement for a waiver to be assigned to a ticket.
