From your HQ venue, you can create, edit and manage stock products across all your venues. This saves you time from making changes across all venues independently and eliminates the risk of manual errors in the process.
This guide walks through how to create a stock product in a ROLLER HQ venue and then make the stock product available to one venue, a group of venues or all your venues.

An HQ venue is a single venue where you can create HQ stock products and then choose which of these products should be available at each of your managed venues. From your HQ account you can also control edit access to stock products via venue permissions and bulk edit products across all your venues. Here’s an overview of how it works:
- Create HQ stock products from your HQ account.
- Make HQ stock products available to your managed venues, so they can add them to their stock catalog.
- Assign your managed venues permission to edit certain properties of HQ stock products.
- Bulk edit HQ stock products from your HQ account and choose which managed venues receive the updates. You can publish changes without leaving your ROLLER HQ account!
Create a HQ stock product
The process of creating a stock product in an HQ venue is similar to how you normally create a stock product in Venue Manager, but with some specific HQ stock product settings. Follow the steps below:
- From your HQ Venue Manager, go to Products > Stock > Create stock.
- Enter the HQ product name, eg Soft drinks. This product name will not be visible to your managed venues.
- Enter the Product code, this can be the same as the product name and is a unique identifier to group and link all variations of this stock product for management and reporting purposes.
- Select the venue tags that this HQ stock product will be available to, or read the guide Create and manage venue tags in HQ to create new tags.
Next, move down to the Content section and add the following:
- A Name for the stock product. This is what venues and guests will see. The name can specify the type of product, allowing you to offer multiple variations under one main product (eg Coffee is the main product and Cappuccino and Latte are the variations. See below for how to add varieties).
- Include a Description. This description will display when a guest selects the stock product in the online checkout and the mobile food & beverage checkout. Keep your descriptions short and clear, so your guests know at first glance what they’re ordering.
- Upload an Image. Select Upload File and select the file from your desktop. Pull and drag the crop marks to frame your image. Anything with a dark overlay will be cropped out. See the tip box below for more information.
- Finally, select your Tags. Tags reduce the administrative burden of manually managing and updating the products in your POS templates and HQ checkouts [beta]. When you add or remove a tag from a HQ stock product, it’s automatically added or removed from your POS templates and checkouts — no need to make manual updates in each of your sales channels as it’s all managed at the product level.
Add your stock details
Once you’ve added the basic details for your stock product, you can start to add your variations. Follow the steps below.
- From the Stock details section, select Create variation.
- Give your variation a Name (eg Cappuccino).
- Set the Price.
- If you have an Unlimited quantity (or don’t track stock qty/PAR), check the box. Otherwise set the Qty and PAR Qty levels (the minimum amount of crucial inventory to keep on hand).
- You can also choose to select Advanced options and add a Variation image, User defined cost, Hide from online sales, Barcode ID and Cost of Goods.
Repeat the steps above for every stock variation you want to add.
Finally, you can include a Reporting category by ticking the box. And, don’t forget to Save!
Add HQ stock products to managed venues
Once you’ve created your HQ stock products, your managed venues can add them to their stock catalog.
