How do I prevent double-booking of party rooms?

Question

You want to make sure two bookings can't be scheduled into the same party room at the same time.

Solution

ROLLER prevents double-booking automatically when your resources, buffer time and schedules are set up correctly. A party room is a resource, and once a booking takes a resource for a time slot, that slot is no longer available to other bookings.

Set the resource booking rule

When you create a resource, choose the booking rule that matches how the space is used. From Venue Manager, go to Settings > Resources.

  • Single booking gives one booking exclusive use of the resource for the time slot, no matter its capacity. Use this for party rooms.

  • Multiple bookings lets several guests book the resource until it reaches capacity. Use this for shared spaces like a general play area.

Add buffer time between bookings

Buffer time adds a gap between bookings on the same resource so parties can't be booked back to back without time to reset the room. You set buffer time on the party package: from Venue Manager, go to Products > All products, select the party package, then under Party package details select Edit program and turn on Add buffer time.

Check availability before you book

When a resource is already taken for a time slot, it appears grayed out and can't be selected. To see the full picture for a day, from Venue Manager go to Bookings > Daily capacity to view how many guests are booked against each resource and where space remains.

The calendar shows a booking's total tickets at its first session time, so a slot can look busier than it is. Use the Daily capacity page for an accurate view of what's actually available.
