Set up loyalty rules and rewards in Venue Manager so guests can earn rewards on qualifying purchases. Use this guide to choose a rule, set the reward and activate your loyalty program.
Before you start
Before you begin, decide:
- How guests will earn rewards.
- What reward they will unlock.
Prepare your loyalty terms and program rules
Before you activate loyalty, update your existing terms and conditions in Venue Manager so they reflect your loyalty program and make the rules clear to guests.
Once your loyalty rules are finalized, we recommend creating a dedicated page on your website that clearly lists your current program rules. Link to that page from your terms and conditions in Venue Manager so it is easier to keep the rules up to date and gives guests one place to check the latest version.
You can use the Loyalty terms and conditions sample as a starting point. You can adjust it, then add it to your existing terms and conditions in Venue Manager, or host it on your website and link to it from your terms and conditions.
Include details such as:
- How guests join the program.
- How guests earn rewards.
- How guests redeem rewards.
- Any expiry, exclusions or limits that apply.
If you change settings that affect guest value, such as reward expiry or point value, review your loyalty terms and program rules and update them if needed.
Choose a rule type based on your goal
- Use Per $1 spent to reward overall spend.
- Use Cumulative spend to reward guests after they reach a spend milestone.
- Use Product purchase (Quantity) to reward repeat purchases of selected products.

Go to loyalty program settings
From Venue Manager, go to Loyalty > Settings.
The Program rules section shows your existing rules. You can edit a preset rule or create a new one. Preset rules stay inactive until you activate them.
Edit and activate a preset rule
Preset rules give you a faster way to launch loyalty. Edit a preset rule to update the default settings and activate it instead of creating a new rule from scratch.
Edit the preset per $1 spent rule
Use this rule to reward guests based on how much they spend. Guests earn points for every dollar they spend. You can set the earn rate and point value, which determine how many points guests earn and how much those points are worth when redeemed.
- Select the options menu (3 dots) next to the rule.
- Select Edit reward rule. The Edit rule details panel opens.
- Choose which products earn points for this rule.
- Under Applies to, the default setting is All products (excl. gift cards).
- To limit the rule to specific products, select Selected products, then choose the products to include.
- Under Reward, the default setting is 2 points per $1 spent. To change the earn rate, enter a new value.
- (Optional) Set a reward expiry in months or days.
- A reward expiry controls how long unlocked rewards stay available before they expire.
- You can set expiry at the rule level (for individual rules) or at the program level (default for all rules).
- Guests will receive an email reminder two weeks before their rewards expire.
- Select Apply.
- Set the Status to Active, then save the page.
Edit the preset cumulative spend rule
Use this rule to reward guests after they reach a total spend milestone.
- Select the options menu (3 dots) next to the rule.
- Select Edit reward rule. The Edit rule details panel opens.
- Under Unlock reward after spending, review the default amount ($250). To change it, enter a new value.
- Under Applies to, review which products count toward the total. To limit eligible products, select Selected products, then choose the products to include.
- Under Reward, the default reward is a $10 off fixed amount discount. To change the reward, adjust the value or select a different reward type.
- (Optional) Set a reward expiry in months or days.
- A reward expiry controls how long unlocked rewards stay available before they expire.
- You can set expiry at the rule level (for individual rules) or at the program level (default for all rules).
- Guests will receive an email reminder two weeks before their rewards expire.
- Select Apply.
- Set the status to Active, then save the page.
Create a new rule
Create a new rule to choose the earning trigger, decide which products count and set the reward.
- Select Add reward rule. The Choose earning trigger panel opens.
- Under How guests earn, select one:
- Per $1 spent — guests earn points for every dollar they spend.
- Cumulative spend — guests unlock a reward after reaching a total spend amount.
- Product Purchase (Quantity) — guests unlock a reward after purchasing a specific product a set number of times.
- Select Next. The Add rule details panel opens.
If Per $1 spent already exists in your program, it cannot be selected here (eg preset rule). Edit and activate the existing rule instead.
Configure the earning trigger
Set the earning condition based on the rule type you selected:
- Cumulative spend: Enter the total spend amount required to unlock the reward and choose which product variations count toward that total.
- Product Purchase (Quantity): Enter the number of purchases required, then select which product variations count toward the rule.
Choose the reward
Choose the reward guests will unlock when they meet the spend or purchase target.
- Under Reward, choose one:
- Points.
- Free product.
- Fixed amount discount.
- Configure the reward details:
- For Points, enter the number of points awarded.
- For Fixed amount discount, enter the discount amount.
- For Free product, select the product guests will receive.
- Select Apply.
Set point values
Set the point value to control how much each redeemed point is worth at checkout.
- From Venue Manager, go to Loyalty > Settings.
- Scroll to Point redemptions.
- Set the Point value (eg 1 point = $0.01).
This setting determines the discount guests receive when they redeem points on qualifying products at checkout.
Example
If you set 1 point = $0.01:
- 100 points = $1 discount.
- 500 points = $5 discount.
- 1,000 points = $10 discount.
Set reward expiry (optional)
Set reward expiry to control how long unlocked rewards stay available before they expire. You can set a default expiry for all rules and override it for individual rules where needed.
Set a default expiry for all rules
The default expiry applies to all rules in the program unless overridden at the rule level.
- From Venue Manager, go to Loyalty > Settings.
- Under Expire rewards, turn on expiry.
- Set the number of months under Expire unused rewards after.
Set expiry for a specific rule
You can override the default expiry for individual rules. This setting is available when editing a rule in the Edit rule details panel.
- Select the options menu (3 dots) next to the rule.
- Select Edit reward rule. The Edit rule details panel opens.
- Under Set expiry for this reward, select the checkbox. This overrides the program default.
- Set the number of months or days under Expire unused rewards after.
- Select Apply.
Loyalty email templates
ROLLER sends automated emails to guests as they earn and progress through your loyalty program. You can customize these templates in Settings > Design > Email templates in Venue Manager.
The following loyalty email templates are available:
- Loyalty enrollment — sent to guests when they are enrolled in the program.
- Loyalty invitation — sent to guests when they are invited to join the program.
- Loyalty milestone progress — sent to guests to notify them of their progress toward the next loyalty milestone.
- Loyalty reward reminder — sent to guests to remind them to redeem their rewards before they expire.
Activate a rule
Once your rule is configured, set the Status to active so guests can start earning.
- Confirm the rule Status is set to Active.
- Repeat the process to add additional rules if needed.
You can run multiple rules at the same time, but only one Per $1 spent rule is allowed in each loyalty program.
Edit an existing rule
- Select the rule.
- Select Edit reward rule.
- Make changes and select Apply.
- Save the program page.
What happens after activation
Once an active loyalty rule is in place:
Guests who are subscribed to the venue mailing list receive an email invitation to join after a purchase at POS, through the online checkout or Venue Manager.
Guests can also self-enroll after purchasing via the online checkout.
When enabled in the order confirmation email template, guests can also join the loyalty program from the order confirmation email.
Guests select Accept & Join and agree to the loyalty terms and conditions and are automatically enrolled in the program. They then receive a welcome email.
After joining, they can begin earning on qualifying purchases and unlock rewards when the rule conditions are met.
Points and progress towards milestones are earned for qualifying purchases when guests redeem their bookings at POS or they expire.
