This guide shows you how to personalize email templates, organize content and adjust styles so your guest communication is on brand and accurate.
Open an email template
You can update email templates like booking confirmations, waiver reminders and membership emails to reflect your brand and tone so guests get a consistent experience across every message.
To select an email template:
- In Venue Manager, go to Settings > Design > Email templates.
- Select a template to edit it. Alternatively, select the options menu (three dots) icon on the right and select Edit template.
Review email content panels
Each template includes a selection of standard panels. Most templates support one of each, except for the Custom panel, which you can add multiple times.
Standard panels:

Greeting: This panel always sits at the top of your email. You can update the heading and paragraph text and add personalization using variables (like guest name or venue). Then choose whether to show the master ticket QR code and a download button.

Event details: Displays the date and location of the guest’s booking, with buttons to manage the booking and get directions. You can edit both fields, rename the location and manage booking buttons, or toggle either button off.
Your business must be registered with Google to ensure the Get Directions button shows the correct directions to your venue.

Product instructions: Adds a heading before showing instructions attached to each product in the order. If multiple products include instructions, they appear in a stacked layout. You can change the heading text, but the content itself is set at the product level.

Order: Shows an itemized breakdown of the booking. You can rename section headings like Subtotal, Total, Discounts, Fees, Tax, Tips and more. You can also toggle individual cost fields on or off. Notes and variables (like membership details) can be added at the bottom.

Form: Displays any forms attached to the products in the order. You can edit the heading and button text (like “Complete form”).

Waiver: Prompts guests to complete a waiver. You can update the heading, body text, button label and the instructions for sharing the link with others. All text is fully editable and supports formatting.

Venue info: This panel always sits at the bottom of the email. It includes your venue’s logo and contact details like name, address, phone number and email. You can edit the paragraph content and choose whether or not to show the logo.

Custom panel: Add promo messages, seasonal offers or extra info. You can add more than one.

Gift card promo: Link to a specific gift card or voucher.

Guest list: Show RSVP details for bookings that use guest lists.
- Terms of entry: Display the terms and conditions tied to your product.
Panel availability
You’ll only see the panels that are available for the template you're editing.

Form and Waiver only appear if the guest’s booking includes them.
- Guest list is available in event emails like Guest list RSVP reminder. This replaces the Waiver panel if waivers are required for the booking.
- Product instructions appears in templates like Order confirmation.
Edit a content panel
To edit a content panel:
- Select the panel you want to edit.
- Update the headings, button labels and any paragraph text.
- Use the formatting toolbar to apply styles (like bold, italics, lists or links).
- Add variables to pull in booking info, guest names, venue details and more.
- Use toggles to show or hide specific elements (e.g. the QR code).
- Select Save when you're done.
Insert an optional panel
To insert an optional panel:
- Scroll to the bottom of the panel list.
- Select the Insert panel dropdown.
- Choose the panel you want to add.
- Select Add to insert it into the email.
- Edit the panel as needed and use the arrows to reorder.
Edit the template style
Select the Style tab to adjust your color settings.
To customize the template style:
- Select whether to use venue colors (pulls from your account settings).
- Toggle the option to reverse primary and secondary colors to swap how buttons, links and headings are styled.
Update email settings and add attachments
Select the Settings tab to customize your email metadata and files.
- Enter a custom subject line or choose a variable to personalize it.
- Use Insert variable to add dynamic content like guest names or booking IDs.
- Under Attachments, upload PDF, text or image files (max 10MB total).
Preview and publish your changes
See the email from your guest's perspective before you save your changes.
To send a test email:
- Select Send test email in the top right.
- Enter a valid booking ID and your email address.
- Review the test copy to confirm formatting, personalization and attachments.
- When you're ready, select Save to publish your changes.
Revert to the default template
You can revert a template to default at any time.
To revert a template:
- From the options menu (3 dots) in the top-right, select Revert to default.
- Select Yes, do it to confirm.
