Give your team a way to track stock that's lost, damaged, removed from a booking or used outside of a sale instead of letting it quietly skew your stock counts and reporting. This guide shows you how to record stock movement from POS or Venue Manager, and how to review it in the stock movement report.
Premium feature
Stock movement recording and reporting is a Premium Plus+ feature. To unlock this feature with a Premium plan and above, contact your customer success manager or the support team.
How it works
Stock movement recording lets staff log stock that's removed from bookings and inventory without being sold. This includes spoiled food, breakages, voids and refunds, staff meals, prep loss and similar. Recording stock movement keeps your stock-on-hand counts accurate and gives you visibility into where and why stock is being lost, so you can act on patterns rather than just noticing gaps at stocktake.
Stock movement can be recorded from two places:
POS: from the Stock items page, using the overflow menu, for POS staff recording on the go. Or, by adding a reason code when a stock item is voided or refunded.
Venue Manager: also from the Stock items page overflow menu, for staff managing stock centrally.
Recorded stock movement feeds directly into the stock movement report in Venue Manager, giving you a dedicated view of what's been wasted, when, and (if captured) why.
To complete the tasks in this guide, you need the permission Can record wastage. This permission is required to log wastage in POS or Venue Manager. It’s not enabled by default for POS operator roles and staff without this permission will need a Manager PIN to record. It can be added to custom roles. Learn more about custom roles in the guide.
Record stock movement at POS and in Venue Manager
Record wastage at POS:
From POS, go to Stock items by selecting food and drink icon.
Select the stock item you want to record wastage for.
Select the options menu (three dots) and choose Record wastage.
Enter the quantity wasted, and a reason when prompted.
Select Confirm to save the entry.The item's stock-on-hand count updates immediately to reflect the recorded wastage.
Record voids at POS:
Search for the booking by booking name or booking ID, then select it from the results.
Select the checkbox next to the item/s you want to void.
Then, select the options menu (3 dots) at the top of the booking screen and select Remove item.
Deselect Return stock items to inventory if you don’t want to return the selected item to your inventory. Otherwise, this stays selected by default.
Select a Void reason from the dropdown.
Select Void to complete the action.
Record refunds at POS:
Search for the booking by booking name or booking ID, then select it from the results.
Select Refund at the bottom of the screen.
Choose the refund method (eg cash, card, gift card or wallet).
Enter a custom amount to refund, or select one of these options: Total, Individual tickets or Individual tips.
You can also choose to cancel the booking once the refund is processed by checking the box.
Select Continue.
From the dropdown, select the reason for the refund.
Deselect Return stock items to inventory if you don’t want to return the selected item to your inventory. Otherwise, this stays selected by default.
Select Refund.

Record wastage in Venue Manager:
From Venue Manager, go to Products > Stock.
Select the stock item you want to record wastage for.
Select the options menu (three dots) and choose Record wastage.
Enter the quantity and reason (if applicable).
Select Save.

Review the stock movement report
From Venue Manager, go to Reports > All reports.
Search for and select stock movement report.
Filter by date range, stock item, or category to review recorded wastage, voids and refunds.
