Reserve a resource across multiple days in Salesforce (on request)

When a customer wants the same room for every day of a conference week, Book Multiple Days searches the whole range at once and reserves the dates that are free, so you aren't blocking each day by hand. Set the range, the days inside it and the times, then see what's available before you commit. Reserving holds the resources, and the product that charges for them is added separately.

To reserve a resource across multiple days, you need the ROLLER Connect – Groups & Events module, available on request. To learn more, contact your customer success manager or the support team.

Before you begin

The resource group has to be made of single-booking resources. Where the resources take several bookings at once, Book Multiple Days doesn't appear on the menu. Add the event on each date instead.

Reserve a resource across multiple days

  1. From Salesforce, open the Opportunity and go to the Reservations Calendar section.

  2. Right-click the resource group you want to reserve, then select Book Multiple Days.

  3. Fill in the search.

    • Start Date and End Date: the first and last date of the run.

    • Days of Week: the days inside that range you want. A band playing every Thursday for four weeks needs Thursday alone.

    • From and To: the times you need on each date.

    • Resources Needed: how many resources from the group you need on each date.

  4. Select Check Availability.

  5. Check Available Days against Requested Days. Where the two match, every date you asked for is free, and each date lists the resources it will take. Where Available Days is lower, the dates that fell short appear under Unavailable Days, with how many resources are free on each. If a day is unavailable, adjust the search to exclude it and Check Availability again.

  6. Select Reserve.

    Availability is checked again at the moment you reserve. Where someone has taken one of your dates while you were working, the message "Availability changed for one or more selected days. Please review the updated results and confirm again." appears and nothing is reserved. Select Check Availability again to see the updated results, adjust the search if you need to, then reserve what's left.

  7. Refresh the page, or select the Resources tab, to see the products that hold the resources. One product appears for each resource block, carrying that block's date.

Charge for the dates you reserved

The products that hold the resources are added for you and carry no value, so the booking total stays at $0.00. Add the product the customer is paying for separately.

  1. From the Opportunity, select Add Products.

  2. Find the product the customer is paying for, then select its checkbox.

  3. Enter the number of dates you reserved in Quantity. Five reserved dates take a quantity of 5.

  4. Enter the date the product applies to in Date. It isn't filled in for you.

  5. Select Add to Opportunity.

Remove a date you booked by mistake

Right-click the block on the Reservations Calendar and select Delete Block. That releases the reservation in ROLLER.

Blocks come off one date at a time, so a five-date reservation takes five deletions.

What happens next

FAQs

Do I need to add a product for each date I reserved?

No. A product is added for each resource block, with that block's date on it. The only product you add yourself is the one the customer is paying for.

What gets created in ROLLER?

One booking, with a line item for each date you reserved. On the booking, Inventory reads Reserved, and each date appears as its own row on the Order tab with its own item.
