This article walks you through setting up kart maintenance in ROLLER Karting. You'll create the tags used to group maintenance entries, then build triggers that raise an alert automatically, so karts get serviced before something breaks.
About kart maintenance
ROLLER Karting tracks how far, how long, and how many laps each kart has run. Maintenance alerts turn that into action, so instead of relying on someone remembering a kart is due for tires, an alert is raised for you.
Alerts can be raised three ways: on a recurring schedule, after each run, or when a kart crosses a usage threshold.
Two pieces of setup sit behind this:
Maintenance log tags group maintenance entries so you can tell at a glance what kind of issue a kart has, for example Out of service, Ready to race, or Due for inspection.
Maintenance alert triggers decide when an alert is raised, which karts it applies to, and what happens to the kart's status when it fires.
Staff can also log maintenance by hand during a shift, for example when a kart is damaged on track. That's covered separately.
Before you begin
ROLLER Karting is installed and you can sign in as an admin, or with settings access. See Install ROLLER Karting if you haven't completed the install yet.
Your karts are added to ROLLER Karting, with their usage totals set up.
You know your service intervals, for example how many kilometers or laps a kart runs between tire changes, or which checks you run daily.
You've created your run templates, if you want to raise alerts after particular kinds of race. See Create a run template in ROLLER Karting.
Step 1: Create your maintenance log tags
Tags group maintenance entries so staff and mechanics can sort and filter them. Set these up first, because triggers can apply a tag when they fire. Follow the steps below:
From the left menu, go to Settings.
Under the Maintenance Logs header, select Maintenance Log Tags.
Select NEW MAINTENANCE LOG TAG.
Enter a name for the tag.
Save the tag.

Repeat for each tag you want. Useful starting tags are Out of service, Ready to race, and Due for inspection.
For example, you might tag anything that stops a kart racing as Out of service, anything needing a look but still raceable as Due for inspection, and completed work as Ready to race.
Step 2: Open Maintenance Triggers
Follow the steps below:
From the left menu, go to Settings.
Under the Maintenance Logs header, select Maintenance Triggers.
Select NEW MAINTENANCE ALERT TRIGGER.
The list shows each trigger's name, whether it's enabled, and when it last ran.

Step 3: Name and describe the trigger
Give the trigger a name staff will recognize and a description that tells the mechanic what's needed. Follow the steps below:
Enter a Name, for example Due for inspection.
Leave Is enabled? selected so the trigger runs.
Select Prevent duplicate active alerts from being created if you only want one open alert per kart at a time. Without this, a kart can accumulate repeat alerts for the same issue.
Enter a Description. This is what staff see on the alert, so write it as an instruction, for example This kart is due for inspection.
Step 4: Choose which karts the trigger applies to
Follow the steps below:
Set Apply trigger to, for example Vehicles.
Set Applies to vehicles. Choose all vehicles, or narrow it to a group so you can run different schedules for different karts.
Select Only apply to vehicles used since last trigger run if you want to skip karts that haven't been on track since the trigger last ran.
Scoping triggers to a vehicle category lets you stagger servicing, for example cadet karts on Mondays and adult karts on Tuesdays, rather than pulling the whole fleet off the track at once.
Step 5: Set what the alert is tagged with
Under Tag Maintenance Logs with these tags, select the tags you created in Step 1. Entries raised by this trigger are tagged automatically, so mechanics can filter to the work that matters.
Step 6: Set when the trigger fires
Open Apply trigger to and choose one of three options. The settings underneath change to match your choice.
On a recurring schedule
Use this for time-based checks, such as a daily safety inspection. Set Trigger at to one of:
Midnight, for a daily check.
First of the Month, for a monthly check.
Custom (advanced), to define your own schedule.
After each run
Use this when a kart should be looked at every time it runs a particular kind of race. Under For Run Templates, select the run templates the trigger applies to, or select All run templates.
For example, a venue running long endurance races might raise an inspection alert after each one, while leaving short arrive-and-drive races alone.
When crossing a metric
Use this for usage-based servicing. Follow the steps below:
Choose the metric: Kilometers, Hours, or Laps.
Enter the Metric value, for example 100 kilometers.
The alert is raised when a kart crosses that figure. Because usage totals can be reset when a kart is overhauled, intervals start again from the reset point rather than from the kart's lifetime total.
Step 7: Set what happens to the kart
Follow the steps below:
Select Change status color to make the kart stand out in the maintenance list, then pick the color. Venues commonly use red for out of service.
Select Change status if the trigger should also change the kart's status, for example taking it out of rotation until the work is done.
Select SAVE.
Example: A tire change trigger might apply to all vehicles, fire at 100 kilometers, tag entries Due for inspection, and turn the kart's status color red so it's obvious in the maintenance list.
Frequently asked questions
Can we stop a kart being raced until it's been checked?
Yes. A trigger can change the kart's status when it fires, which takes it out of rotation so it can't be assigned to a race. The kart is made available again once the work is logged and the alert is cleared.
Can different karts be on different schedules?
Yes. Scope each trigger to a group of vehicles rather than the whole fleet. That's how venues run rolling schedules, such as servicing one group of karts on Mondays and another on Tuesdays.
Can we run daily checks as well as usage-based servicing?
Yes, using separate triggers. Set one trigger to a recurring schedule for daily or monthly checks, and another to fire when a kart crosses a usage metric. A third option raises an alert after each run, which suits checks tied to a specific kind of race.
What stops the same alert being raised over and over?
Select Prevent duplicate active alerts from being created on the trigger. Only one active alert for that trigger is then created per kart.
Can we tell different types of issue apart?
Yes, in two ways. Tag the entries the trigger creates, and set a status color so the kart stands out in the maintenance list. Venues use different colors for different kinds of issue.
Do usage totals keep counting after a kart is serviced?
The lifetime totals keep counting, but each total can be reset when work is done. Resetting after an engine change or chassis overhaul means the next maintenance interval is measured from that point.
