From 29 April 2025, to meet PCI DSS compliance, you can no longer take manual credit card payments for gift cards in Venue Manager (if you're using ROLLER Payments). Instead, you can use payment request links to take credit card payments securely, following the same process already used for bookings. Read on to learn more.
If a guest contacts your venue to purchase a gift card (eg by phone or email), you can issue the gift card and take payment directly from Venue Manager.
Unlike creating bookings in Venue Manager, you issue and take payment for gift cards directly from the gift card product in Venue Manager.
Step 1: Issue the gift card from Venue Manager
- From Venue Manager, go to Products > All products.
- Search for the gift card product the guest wants to purchase. You can also filter by Product type = Gift card to find it quickly.
- Select the options menu (3 dots) for the gift card product, then select Issue new gift card.
Step 2: Enter gift card details
- Add the gift card value, quantity and purchaser's details.
- Select Next to continue.
Step 3: Choose a delivery method
- Select the Delivery method (eg digital (e-gift card) or physical gift card)
- Complete any extra fields and options based on your selection.
The delivery method options depend on how the gift card product is configured.
Step 4: Add recipient details
- Enter the recipient's contact details (as prompted based on the delivery method chosen above).
- ROLLER automatically generates a gift card number. You can update this gift card number (see tips below).
- Select Take payment to continue.
Step 5: Take payment
From 29 April 2025, you can no longer manually enter credit card details when taking guest payment for gift cards in Venue Manager (if you're using ROLLER Payments). Instead, you can select Send payment request to take payment securely by credit card.
This change is required for PCI DSS compliance — the global standard for secure credit card handling — and is consistent with how you take payment for bookings. It also enhances fraud protection with 3DS secure authentication, which helps verify the cardholder’s identity and reduces chargebacks.

To take payments for gift cards:
- Choose a Payment method:
- Bank transfer – Record a payment made via bank deposit
- Cash – Record a payment made in cash
- Cheque – Record a payment made by cheque
- Complimentary – Issue the gift card free of charge
- Eftpos – Record the payment made by EFTPOS
- Send payment request (secure payment request link for credit card payments; read on to learn more)
- Follow the prompts to complete the payment or issue the gift card as complimentary (free of charge). The options you see will depend on the payment method selected.
Taking credit card payments with payment request links
- Select Send payment request from Payment methods when issuing the gift card.
- Choose the payment amount (total due or a deposit)
- Choose Email or Text/SMS to send the payment request link.
- Confirm the email or phone number to send to with the guest.
- Select Send request. The guest receives a secure payment link and can pay on their device immediately (while on the phone with you) or later at their convenience.
You can also track payment status from the booking activity stream in Venue Manager or using the Payment Links report (from Venue Manager, go to All reports > Payment Links).

Gift card ID number tips
ROLLER generates gift card numbers automatically, but you can override them with your own custom IDs. Best practices include:

Use non-sequential alphanumeric IDs that don’t repeat
- Using 9-digit IDs to distinguish them from booking ID numbers.
- For physical gift cards, enter the number printed on the card.
