Edit any field on an HQ product once, then choose which venues receive the change and when. A price rise, a new deposit or an updated image reaches every venue you select at a time you pick, instead of being repeated venue by venue. Group related changes into a collection and they go live together, so updated booking terms on all your membership products take effect at every venue on the same day.

How it works

You make your changes on the product itself, then decide what happens to them. Every field on a product or variation can be edited in HQ, apart from a small number of venue-specific fields.

When you have finished editing, you have two choices:

  • Save to HQ updates the HQ template only. Nothing reaches your managed venues.

  • Select Venues starts the publish flow, where you choose when the change happens and which venues receive it.

Nothing changes at a venue until the scheduled time arrives.

Key terms

  • Collection: a group of changes that all go live at the same scheduled moment.

  • HQ template: the master version of the product in HQ. Venues that add a product for the first time receive the template version.

  • Collections page: the page in HQ that lists everything you have published or scheduled, with the venues each change reached and a log of the fields that changed. You can access it via Publish > Collections.

Before you begin

The product must already be shared with the venues you want to update, and those venues must have added it to their product list. Editing a product in HQ does not change the version already sitting in a managed venue until you publish the change to that venue.

Edit and publish a product change

To edit a product and publish the change:

  1. From HQ Venue Manager, go to Products and select the product you want to edit.

  2. Make your changes. Any field on the product or its variations can be edited, including pricing, deposit, terms and conditions, instructions, images and variation-level advanced options such as an image override or a reporting category override. Only the fields you change are published. Anything you leave untouched stays as it is at each venue.

  3. Select Select Venues.

  4. Choose how the change is released:

    • Create a new collection starts a new collection that you can keep adding changes to before it publishes.

    • Add to existing collection queues this change in a collection you are already building. Choose the collection from the Existing collection list. Your change is released with the collection, at the publish date, time and time zone shown.

    • Publish now sends the change to your selected venues immediately.

  5. For a new collection, enter a Collection name and Description, then set the Publish date and Time.

  6. Choose the Time zone:

    • Venue time zone releases the change at that local time in each venue. A 5:00 AM release reaches a venue at 5:00 AM its own time.

    • HQ time zone releases the change at the same moment everywhere, based on your HQ's local time.

  7. Select Next: Choose venues.

  8. Select the venues to apply the change to. Use the Venues tab to pick venues individually or Select all, or the Tags tab to target a venue group.

  9. (Optional) Check Save to HQ to update the HQ template with these changes as well.

  10. Select Next: Review changes.

  11. Check the summary. It shows the publish date, time, time zone, the venues selected and, under Settings to publish, each field that is changing. Add a Change description so you can find this update again later.

  12. Select Publish later to commit and schedule the change. If you’ve chosen to Publish now instead of scheduling the change, select Publish.

Venue time zone is worth choosing where your group spans more than one time zone. It means every venue receives the change outside its own trading hours, rather than mid-afternoon for some of them.

Send different values to different venue groups

Sometimes one product needs different values at different venues. For example, in a group of 20 venues, 10 venues in one state may move to a new price while the other 10 in another state move to a different price.

To do this, edit the product twice, and leave Save to HQ unchecked both times:

  1. Set the first value, select Select Venues, choose the first venue tag or set of venues, and publish. This takes you back to the All Products page.

  2. Open the product again, set the second value, select Select Venues, choose the second group, and publish.

Only check Save to HQ when you want that value to become the baseline in the HQ template. In a split like this, saving one of the two values would make it the default for every venue that adds the product later.

What happens next

The change sits as Scheduled until its release time. At that point it moves to In progress, then Published once each venue has it. You can track all of this from Publish > Collections.

Track your published and scheduled changes

Use the Collections page to see what is scheduled, what has already published, and which venues each change reached. It includes each collection's name, description, number of items included, scheduled date and time, time zone and publish status.

  1. From HQ Venue Manager, go to Publish > Collections.

  2. Use the date range at the top left to move between months, or search by collection name. A date range can cover up to 90 days.

  3. Select a collection to open it. The Items section lists each product change in the collection, with its own status.

  4. Expand a change to see its change description, the venues it targets and the scheduled date and time for each.

  5. Select View logs next to a venue to see the exact fields that were updated and their values.

Status

What it means

Scheduled

The change is committed and waiting for its release time.

In progress

The change is being applied to venues now.

Published

The change reached every selected venue.

Published, with a count of failures

The change reached some of the selected venues but failed at others, for example Published (2/6 failed).

Error, with a count of failures

The change failed at every venue it targeted, for example Error (2/2 failed).

Where a publish fails at a venue, the log for that venue explains what went wrong, so you know exactly what did and did not reach your venues and why.

Manage a scheduled or published change

What you can do depends on whether the change has published yet. Everything below starts from Publish > Collections.

Edit a collection

Before it publishes

Find and open the collection. You can still change the Collection name, Description, Publish date, Time and Time zone. Select Save.

Changing the publish date, time or time zone reschedules every change in the collection.

After it publishes

The collection can no longer be changed. If you want to send the collection to more venues, select the options menu (3 dots) next to the collection in the Collections list, then select Replay past publish. You then work through the same flow as before: choose a collection or publish now, then choose the venues.

Edit a change within a collection

Before it publishes

Open the collection and expand the change, then select:

  • Change target venues to add or remove the venues it is going to.

  • Remove from this collection to take it out so it does not publish.

Select Save to confirm.

After it publishes

Expand the change and select Publish again to send that one change to more venues.

To test a change before it goes to all venues, publish to a single venue first. Once you’ve confirmed it looks right, use Publish again to send the same change to your remaining venues.

What you cannot do

The scheduled window is your only chance to adjust or remove a change. Once it has published, the change is live in the selected venues and cannot be withdrawn from here. To undo it, publish a new change that sets the fields back. This is why we recommend testing on a single venue first.

Compare a product across your venues before you publish

Export a CSV to see how a product is currently set up at each venue, and where each venue differs from HQ.

  1. From HQ Venue Manager, go to Products > All Products and select the product.

  2. Select Export at the top right.

  3. Select the venues to include, using the Venues tab or the Tags tab.

  4. Select Export to download the file.

The file has one row per venue and variation. Alongside the current values, it flags where a venue's copy differs from HQ.

FAQs

I used to use Bulk edit. Where has it gone?

HQ Product Management replaces it. You no longer open a separate screen to push changes out. Edit the product directly, then select Select Venues to choose which venues receive the change and when.

Can I edit every field now?

Every field on a product or variation, apart from a small number of venue-specific fields that only a venue can set.

Can I push a stock product variation image to my venues?

Yes, with HQ Product Management, this is now possible.

Does editing a product in HQ change it at my venues?

Editing alone does not immediately change the product at the venues. Once your change has been made, you can choose to either Save to HQ only, or you can choose Select Venues to publish the change to one or more venues at your chosen time. Only the fields you change are published. Anything you leave untouched stays as it is at each venue.

What is the difference between Save to HQ and Select Venues?

Save to HQ updates the HQ template only. Select Venues starts the publish flow that sends the change out to managed venues. You can do both in one go by checking Save to HQ during the publish flow’s venue selection step.

Can I stop a change that is scheduled but has not published yet?

Yes. Open the collection from Publish > Collections, expand the change and select Remove from this collection. You can also select Change target venues to narrow where it goes instead of cancelling it outright. Neither option is available once the change has published.

Can I still export a comparison of product settings across venues?

Yes. To export the product comparison file, open a product first and then select Export.
