School holidays fill your 11 AM go-kart sessions by Tuesday and leave the 3 PM ones half empty. A capacity-based price rule sets a price for each band of remaining capacity, so a session earns more as it fills and less while it is quiet.
Use this guide to build the rule and choose the channels it prices on. To apply it to a product afterwards, see Apply a price rule to products and set prices.
Release stage: Beta. To learn more, contact your customer success manager or the support team.
How capacity-based pricing works
Capacity is measured against the resource assigned to the product, not against the product itself. 0% means the resource is empty and 100% means it is fully booked. Each tier covers a band in between, so a tier of >40%–60% prices a session while its resource sits between those two points.
How a resource fills depends on its type. Multi-booking resources count pax. Single-booking resources count how many of the resource are still available.
What you set | What it does |
|---|---|
Tiers | Up to five bands of remaining capacity, each with its own price per ticket type |
Sales channels | The channels the tiers price on. You pick them per rule |
Base price | What guests pay on any channel you did not select, whatever the capacity is |
This is the one rule type where channels are a choice rather than a given. The other three price every channel automatically. Choosing channels lets you run capacity pricing online and keep front counter prices flat.
Before you start
The product needs a resource assigned to it, because that resource is what capacity is counted against.
Check the product type first. Capacity-based rules work on session passes, party packages and packages that include a session pass. See How price rules work with different product types.
Create the rule
From Venue Manager:
Go to Products > Price rules > Create price rule.
Select Capacity-based.
Enter a name for the rule.
Enter the upper capacity percentage for the first tier, then select Add tier. The first row starts at 0%, and each new tier picks up where the one above it ended, so you only ever enter the upper figure.
Repeat until you have the tiers you want, up to five, and set the last tier's upper percentage to 100. Every tier needs an end value. Leaving one blank shows "Every tier must have an end value".
Under Sales channels, select the channels the tiers apply to: Progressive Checkout & API, Point of Sale and Venue Manager. Select at least one, or the rule shows "Select at least one sales channel".
Select Save.
The permission required to create or edit a price rule is Can manage price rules. Administrators have this permission enabled by default.
Apply the rule and set your prices
The steps are the same as for any other rule type. See Apply a price rule to products and set prices. Two things are specific to capacity-based rules:
Rules are grouped by type in the Price rule drop-down, and each capacity-based rule shows a pill for the channels it prices. The line under the drop-down repeats it once the rule is selected.
The variations table opens with a Base price column, then one column per capacity tier. Set the base price for each ticket type as well as the tier prices. The base price is what the channels you left out will charge.
Check it works
Open your online checkout and view a session with plenty of capacity left, then one that is nearly full. The prices should differ by the tiers you set.
Check the same two sessions on a channel you did not select. Both should show the base price.
If every session shows the base price, check that the rule is applied to the product and that the channel you are testing is selected on the rule.
FAQs
What price does a guest pay if the session fills up while they are checking out?
The price is worked out at payment, not when tickets go into the cart. If the session crosses into another tier in between, the guest pays the price that applies at payment.
Can guests add tickets to a booking later at the price they originally paid?
Once a booking is purchased, extra tickets and changes to that booking keep the original purchase price, on any channel. A booking made online and added to at POS keeps the price it was sold at.
Do capacity prices apply when a guest redeems a Multipass?
No. The entitlement holds, so the price difference is ignored.
