How membership revenue is recognized

This guide summarizes how membership revenue is recognized using the membership product type in ROLLER and the best way to track and report on membership metrics.

Staff must have the permission Can access Guests reports to access membership reports from Venue Manager. Administrators and managers have this permission enabled by default. You can create a custom role (Pro plan and above) to enable it for other staff.

Membership revenue recognition

Memberships offer two avenues of revenue:

  • Recurring billing: Memberships are charged on an ongoing basis. The membership product's settings manage the charging frequency (daily, weekly, monthly, and yearly) and the term (unlimited or limited to a set number of payments). 

  • Fixed-cost: These memberships are charged once based on a fixed cost and can be used for a determined period of time. Once they expire, they do not renew, and customers must purchase a new membership. 

Recurring billing

The initial upfront payment of $25 is recognized at the time of the transaction for an ongoing indefinite membership that costs $25 per month for venues with cash or accrual accounting enabled in Settings > Account > Venue settings.

The following recurring monthly payments of $25 are recognized each month the guest is charged (this occurs one calendar month after their first initial payment).

Fixed cost

With fixed-cost memberships, the total amount charged will be recognized at the time of the transaction, no matter which accounting method, cash or accrual, you have enabled for your venue.

Membership grid reports

It's important to create reporting categories for all memberships using the membership product type in ROLLER. Using reporting categories and GL codes, for example, allows you to segregate membership data in the Ledger Summary report.
