Give your resellers their own way to book for their guests, at the rates and payment terms you've agreed with them. Your reseller checkout is where they sign in to the portal. Set it up once and send the share link to your reseller contacts. Their bookings then come into ROLLER against the reseller automatically.

This guide shows you how to create your reseller checkout, add your products and send the checkout link to your resellers.

How it works

  • You can have one reseller checkout per venue.

  • A reseller sees a product only when you've added it to both your reseller checkout and their reseller record.

    • Your reseller checkout sets what you sell to resellers and how it's laid out: the sections, the order and where the add-ons offered with each product appear.

    • Each reseller record sets which of those products, including linked checkout add-ons, that reseller can book. You have one reseller checkout for all your resellers, so the reseller record is how you give each one access to a different range (eg school groups for an education agent, day passes for a hotel concierge).

  • Each reseller contact signs in with the email address or mobile number in their contact record. Resellers can't sign themselves up.

  • ROLLER doesn't tell your reseller contacts that the portal exists. You send them the link to the checkout.

  • Resellers can pay by the payment terms and options you've set for them in their reseller record.

Before you begin

The permission required to create and manage your reseller checkout is Can manage online checkouts. Administrators and managers have this permission enabled by default.

Create your reseller checkout

  1. From Venue Manager, go to Apps > Progressive checkouts > Create checkout.

  2. Select Reseller checkout.

  3. Enter a Checkout name. This name goes into the checkout address your resellers use, so keep it short. You can't change it after you save the checkout.

  4. Select Done.

The checkout setup area opens at the Products tab. A reseller checkout has two tabs, Products and Options, and no homepage.

Add your reseller products

Group your products into sections so resellers find what they need, then add products to each section.

Add products by tag where you can. When you add that tag to a product later, ROLLER adds the product to the section for you, so there's no need to edit the checkout (eg tag a new tour with reseller tickets and it appears in your reseller tickets section). If your reseller records use the same tag, the product reaches those resellers too, with no other changes.

From the Products tab:

  1. Select Add section.

  2. Enter a Section title (eg School groups).

  3. Select Specific tags, then search for and select your reseller product tags. You can also add products with Specific categories or Specific products.

  4. Select Apply.

  5. Select Save.

Resellers can't book memberships, gift cards, multi-passes, wallets or cashless cards. If one of them has a tag or category you add, ROLLER leaves it out of the section when you save. A package or party package that includes one of them can still be sold.

Add-ons from the products you add appear under Add-ons, below your sections. A reseller sees recommended add-ons during checkout only when they are also assigned to Products in their reseller record.

Set your checkout options

The Options tab has the same Date settings, Appearance, Products page, Details page, Payments page and Confirmation page settings as your online checkout.

A new reseller checkout defaults to date-led, so resellers choose a date first. To learn what each setting does, see Create your online checkout.

Unlike your other progressive checkouts, a reseller checkout doesn't include these settings:

  • A homepage

  • Accept only discount codes as payment

  • Require guest's postcode/ZIP

  • Waiver signing post payment

Resellers can still share a waiver with their guests, with the Share waiver with guests link on the Booking confirmed page.

When you've set your options, select Save.

Let resellers change their own bookings

Resellers can change a booking from the portal within the booking management rules you set for your progressive checkouts. Resellers and guests follow the same rules if you’re also using online accounts. One rule applies to resellers only: Allow guests to cancel unpaid bookings (Reseller Portal only).

You don't need Enable online accounts turned on. Your booking management rules apply to your reseller checkout either way.

The permission required to set booking management rules is Can manage online checkout settings. Administrators have this permission enabled by default.

  1. From Venue Manager, go to Apps > Progressive checkouts > Settings.

  2. Select the Online accounts tab.

  3. Under Booking management, select Add rule.

  4. Under Select products, select Select products, All products (excluding party packages) or Party packages.

  5. Under Booking management rules, select each change you want to allow, then set how long before the booking it closes (eg up to 1 day before the booking date):

    • Allow guests to re-schedule bookings

    • Allow guests to add products & tickets to bookings

    • Allow guests to remove products & tickets from bookings

    • Allow guests to cancel unpaid bookings (Reseller Portal only)

  6. Select Add rule, then Save.

Choose which booking changes resellers can make and how close to the booking they can make them.

Add a rule for each group of products that needs different timing (eg one rule for Party packages and one for All products (excluding party packages)).

Resellers can't get a refund in the portal when they change a booking. If a change leaves you owing a reseller money, refund them from the booking in Venue Manager. See Refund bookings from Venue Manager. Under Allow credit owing on the Online accounts tab, set a Maximum credit owing amount to limit how much a change can leave owing, and add a Refund policy message so resellers see your policy before they confirm.

Check your setup before you go live

Before you test your checkout, check these settings from earlier in your setup.

  • Every tier has a price. Enter a price for every tier on every variation of each reseller product, and choose a tier for each reseller price rule in every reseller record. A tier with no price, or a reseller left on Base, pays the base price. See Create reseller price rules.

  • Each product is in both the record and the checkout. Put add-ons in the same tag as their main product, so they reach the reseller too. To check a tag is linked to your checkout, go to Settings > Product tags, select it and look under Checkouts. See Set up and tag your reseller products.

  • Your payment options are ready. If you offer Bank transfer or Pay on arrival, turn them on in your global reseller settings and add a Display name and Payment instructions for each. Resellers who pay at booking use the payment methods in Settings > Account > Payments. See Set up your global reseller settings.

  • Confirmation emails show what's owing. Turn on Amount due in your order confirmation email template, so resellers who don't pay at booking see the total still to pay. See Show the amount owing in confirmation emails.

When everything checks out, copy your checkout address and make a test booking.

Copy your reseller checkout address

  1. From Venue Manager, go to Apps > Progressive checkouts > All checkouts.

  2. Find your reseller checkout. It's marked with a reseller icon.

  3. Select the options menu (3 dots) next to it, then select Copy to clipboard.

If a reseller books at more than one of your venues, send them each venue's reseller checkout address.

Test your reseller checkout

Before you send the link to your resellers, sign in as a reseller and make a test booking.

  1. Create a test reseller record with your reseller products and price rule tiers, and add yourself as a contact with your own email address or mobile number. So you can test without paying, set the payment terms to Credit account or assign Pay on arrival. See Create a reseller record and contacts.

  2. Open your reseller checkout link, select Contact us and check that your contact details and support instructions are right.

  3. Sign in with the email address or mobile number you added.

  4. Check that you see the products and add-ons you expect at your reseller rates.

  5. Add items to your cart and check that the cart total is right.

  6. Check out with Charge to account or Pay on arrival, so no payment is taken. Enter a booking reference you'll recognize (eg Test booking). This becomes the booking name. If it’s left blank, you’ll see the contact’s name for the booking name.

  7. In Venue Manager, go to Bookings > All bookings and find the booking by the reference you entered.

  8. The test booking is a real booking at your venue, so it holds capacity for that session. Cancel the booking from Venue Manager and deactivate the test reseller.

Send the checkout link to your reseller contacts

Send the checkout link to the reseller’s primary contact, who can then share the details with their other reseller contacts.

You can copy this message and add your details:

Subject: Book [venue name] tickets online

Hi [first name],

You can now book tickets for your guests through our reseller portal, at the rates and payment terms we've agreed with you.

Go to [reseller checkout link] and sign in with the email address or mobile number you provided to us. You'll get a verification code to finish signing in. There's no password to set up.

These people at [reseller name] have been added as contacts and can sign in:

  • [Name]: [email address or mobile number]

  • [Name]: [email address or mobile number]

Share these details with them. If someone else needs to be added as a contact, let me know and I'll set them up.

Once you're signed in, you'll see the products available to you. Pay with one of the payment options we've set up for you, and add your own booking reference if you'd like the booking to match your records.

Your booking confirmation email includes the tickets. Pass the tickets to your guests rather than forwarding the email, because the email shows your rates.

What your resellers see when they sign in

Use these steps to help a reseller who can't sign in. To see the whole reseller experience, from signing in to booking and managing bookings, see Book through a venue's reseller portal.

  1. The reseller opens your reseller checkout address.

  2. They select Sign in with phone or Sign in with email, enter the mobile number or email address on their contact record, then select Continue.

  3. They enter the verification code they're sent. The code works once. There's no password to set up and no sign-up.

Once they're signed in, resellers land on Products, where they choose a date and then their products. They can select Bookings in the top menu to see their business's bookings, including ones their colleagues made. The account icon opens My Account, where they can see their Account details, Business details and Commercial terms.

If a reseller sees Sorry, we don't recognize this account, the details they entered don't match their contact record. Check their email address or mobile number under Guests > Resellers. For a mobile number, also check they've chosen the right country code.

If a reseller's code doesn't work, it may have expired or already been used. Ask them to sign in again to get a new code.

The Contact us link on the sign-in screen shows the contact details and support instructions from your global reseller settings. Keep them current, because that's where a reseller goes when they can't get in.

A suspended reseller can still sign in and see their bookings, but can't make or change a booking. A deactivated reseller can't sign in. Change a reseller's status from the options menu (3 dots) at the top-right of their reseller record.

FAQs

Can I create a second reseller checkout?

No. Once you have one, the Reseller checkout option shows Only 1 allowed. Add or remove products on the reseller checkout you already have.

Why can't a reseller see one of my products?

A reseller can book a product only when it's added to both your reseller checkout and their reseller record. Check the Products tab of your reseller checkout, then the products assigned to the reseller's record under Guests > Resellers. If it's an add-on, check that it's assigned to their reseller record as well. Resellers can't book memberships, gift cards, multi-passes, wallets or cashless cards. If one is in a tag or category you've added to your reseller checkout or reseller record, ROLLER excludes it.

Do I need online accounts turned on for my reseller checkout?

No. Your reseller checkout works whether Enable online accounts is on or off. To let resellers change their own bookings, see Let resellers change their own bookings.

Can a reseller contact also book on my online checkout?

Yes. A reseller contact can book on your online checkout as a guest. Their reseller sign-in is separate from any guest online account they have.
