ROLLER + GetYourGuide integration

Put your tickets in front of travelers who plan and book things to do on GetYourGuide, often after they've arrived at their destination. GetYourGuide sells from your live ROLLER availability, and every GetYourGuide booking comes into Venue Manager with your other bookings.

Use this guide to decide whether GetYourGuide suits your venue, see what's different about it and know what to expect once you're selling. To connect it, see the guide Set up and connect OTAs.

Advanced Channel Management add-on

To connect to Online Travel Agents (OTAs), you need the Advanced Channel Management add-on. It covers every OTA available in ROLLER, and you can add it to any plan.

You pay a small percentage of your OTA booking revenue, billed monthly after the bookings happen, so there’s nothing to pay upfront.

If you're the account owner, you can add it yourself. From Venue Manager, go to Settings > Channel management > Advanced Channel Management and select Add now. Review the cost and terms, then select Agree and add.

Why sell on GetYourGuide

GetYourGuide puts your tickets in front of travelers looking for things to do in the places they visit.

  • Reach travelers once they've arrived. GetYourGuide says many of its travelers book after they reach their destination, often the day before. Your live ROLLER availability shows them tomorrow's sessions.

  • Sell attractions as well as tours. GetYourGuide lists attractions, theme parks, city tours, activities and workshops.

  • Show up in more places. GetYourGuide shows listings in travelers' own languages and currencies, in its app and on partner travel and hotel websites.

  • Pay only when you sell. Listing on GetYourGuide is free. GetYourGuide takes a commission on each booking.

  • Keep everything in ROLLER. Your prices and availability stay in ROLLER, every booking comes into Venue Manager and GetYourGuide sales show in your channel partner reports.

Browse getyourguide.com to see how guests find and book experiences like yours.

Connect GetYourGuide to ROLLER

Start your GetYourGuide supplier agreement first. It's separate from your supplier account, and starting it early keeps it from holding up your go-live.

The permissions required to connect GetYourGuide and set up its products are Can access external service settings, Can create products and Can edit products. The administrator role has all three enabled by default. The manager role has the two product permissions by default.

Once you have your supplier account, you'll:

  1. Activate GetYourGuide in Venue Manager.

  2. Create your products for GetYourGuide sales.

  3. Turn on Sell for GetYourGuide in each variation, with its prices and a Reseller Type, the ticket type guests see on GetYourGuide (eg Adult or Child).

  4. Save your Supplier ID in ROLLER, then map each product in the GetYourGuide supplier portal.

  5. Make a test booking, or check the first real one.

If you manage several venues from HQ, you can create your session passes and standard passes at HQ. Then, in each managed venue, add the Advanced Channel Management add-on, activate GetYourGuide and turn on Sell for it in each variation. HQ doesn't support OTA connections yet.

For the steps, see the guide Set up and connect OTAs.

Manage GetYourGuide bookings

When your team knows which changes GetYourGuide handles, they can answer guests straight away.

In Venue Manager, you can cancel a GetYourGuide booking, add POS notes and edit the booking holder's guest record and each ticket's details (eg the name or photo). The booking's items are locked. GetYourGuide manages refunds and date changes.

Follow a booking when a guest reschedules

The External booking ID lets you follow one guest's booking through every reschedule. It's GetYourGuide's own reference for the booking. When a guest reschedules through GetYourGuide, GetYourGuide cancels the original booking in ROLLER and creates a new one, so the Booking ID changes each time. The External booking ID stays the same. You'll find it in the booking's header in Venue Manager, and you can search for it in Venue Manager or POS.

See who's coming

Your team can see who's booked, because GetYourGuide sends the lead traveler's real name, email and phone number, and ROLLER adds them to the booking. When every ticket in a booking is the same type (eg all Adult), each ticket also gets its traveler's name.

Report on GetYourGuide sales

GetYourGuide sales show in the same reports as your other OTAs, so you can compare them side by side.

  1. From Venue Manager, go to Reports > All reports.

  2. Open Booking Item Sales by channel partner or Product sales by channel partner.

To see only GetYourGuide bookings in another report, select GetYourGuide in its Companies filter. ROLLER creates the GetYourGuide company record when you activate GetYourGuide. These reports have the filter:

  • Detailed Transactions

  • Detailed Product Sales

  • Attendance

  • Ledger Summary

  • Revenue Recognition

To check what GetYourGuide owes you, see the guide Report on and reconcile OTA bookings.

Get more bookings from GetYourGuide

Travelers book what they can find and trust: open dates, clear photos and recent reviews. You set up some of that in ROLLER and the rest in GetYourGuide.

In ROLLER:

  • Keep your sessions scheduled well ahead. GetYourGuide needs at least 3 months of availability to map a product, and recommends opening 3 to 6 months ahead, or a full year.

  • Write a Description for each product before it's mapped. GetYourGuide recommends opening with what makes your experience different.

  • Create a product for each group size you sell. GetYourGuide only shows a group pass when the guest chooses that exact party size.

In the GetYourGuide supplier portal, GetYourGuide recommends that you:

  • Upload at least 10 high-resolution landscape photos, with your four best first.

  • Start your listing title with your location, then the activity and what makes it stand out.

  • Ask guests for reviews, and reply to every review.

FAQs

Why isn't my product showing on GetYourGuide?

Check that:

  • Your supplier agreement is signed and GetYourGuide has approved your listing.

  • Your Supplier ID is saved in ROLLER.

  • Sell is turned on for GetYourGuide in the variation. If Sell is grayed out, the variation isn't tax inclusive yet.

  • The ID in GetYourGuide matches the Product id in ROLLER exactly, including your venue ID at the start (eg 27166-1840680).

  • The product has sessions scheduled at least 3 months ahead.

Where do I find a product's Product id?

From Venue Manager, go to Settings > Channel management > Online Travel Agents and select Settings for GetYourGuide. The GetYourGuide Products panel lists each product with Sell turned on for GetYourGuide, with its Product id. Copy it as shown. It already starts with your venue ID.

How long does it take to get listed on GetYourGuide?

GetYourGuide reviews every supplier application and decides which venues it lists, so start your application and agreement early. Ask GetYourGuide how long its review takes.

How do I switch to ROLLER from Rezdy or another booking system?

GetYourGuide moves your connection to ROLLER, since most OTAs won't connect to two systems at once. Allow 3 to 5 business days for the switch.

Can I set a minimum number of tickets for GetYourGuide bookings?

Yes. Set the minimum for the product in ROLLER, then set the same minimum in the GetYourGuide supplier portal. GetYourGuide needs it in both places.

How do I stop selling a product on GetYourGuide?

Turn off Sell for GetYourGuide in each variation and save. GetYourGuide refreshes your availability every hour for upcoming dates and once a day for dates further out, so a later date can take up to a day to update. To archive the product, turn off Sell in every variation first.

For questions about every OTA, see the guide OTA FAQs. You can also see the GetYourGuide listing in the ROLLER integration partner directory.
