Check in a member at the venue

When a member arrives at your venue, checking them in confirms who they are and applies their membership benefits and any discounts to their purchases. How you do this depends on how the booking was made.

Whether a member needs a waiver depends on the activities and experiences they're participating in.

A membership allows one redemption per day, so redeeming several items in the one transaction still counts as a single daily membership redemption.

Check in a member who purchased at the front desk in POS

Use this when the member walks in to make a booking.

  1. From POS, select Redeem membership. You can do this before or after adding items to the cart.

  2. Search for the member by name, email or membership number, or scan their membership card QR code or key tag.

  3. Select the member from the results.

  4. Select Redeem membership. ROLLER adds the member as the booking holder and applies their eligible discounts.

  5. If the activity requires a waiver, the staff member is prompted to assign one. The member may have already signed a waiver when making the original membership product purchase.

Check in a guest who purchases a membership at POS, then redeems it

Use this when the guest doesn't have a membership yet and wants to buy one and redeem it during the same visit.

  1. Sell the membership first. See Sell recurring payment memberships at POS or Sell fixed-price memberships at POS.

  2. If the membership product requires a waiver, you're prompted to assign it during the sale.

  3. Once the sale is complete, redeem the membership and complete the check-in. Follow the steps in the section above.

Check in a member who booked online

The member booked ahead of time online and applied their own membership discount during  checkout, so the membership is already redeemed.

  1. Search for the booking at POS. A verification banner appears automatically, because the booking used a membership discount online.

  2. Select Verify to see the members included in the booking, along with their profile photos.

  3. Confirm the guest matches the photo on file.

  4. If a photo is missing or out of date, select Take photo to capture a new image. It saves to the member's profile for future visits.

  5. Redeem their tickets to complete the check-in.

Check in a member who booked by phone

When a member calls to book, staff apply the guest’s membership discount in Venue Manager during the call, which redeems the membership.

When the member arrives at the venue for the activity, the member is then checked in at POS, like any other pre-purchased booking.

During the call, in Venue Manager:

  1. From Venue Manager, go to Bookings > Create booking.

  2. Create a new booking for the guest.

  3. Before taking payment, select the Order tab.

  4. Select Add discount and make sure Code is selected from the dropdown.

  5. Enter the member's Membership number.

  6. Select Save to apply and redeem the membership, then take payment.

You can only add a discount to an unpaid or partially paid booking. A fully paid booking needs to be refunded before a discount can be applied.

When the member arrives, at POS:

  1. Search for the booking at POS by name, email, phone number or booking ID.

  2. Redeem their tickets to complete the check-in. Don't select Redeem membership since the discount was already applied during the call.

Speed up check-in with a card or key tag

Give members a scannable ID so check-in is a single scan. Enter a custom ID against the membership, or print a membership card with a QR code the member can present each visit.
