A working POS lets your team sell in person, take card payments at the counter and redeem tickets and memberships as guests arrive. ROLLER POS supports selling through multiple point-of-sale (POS) devices at your venue, sharing the same products and settings.
This checklist covers the whole setup in order, from ordering your hardware through to your first test transaction, so you can see what's involved before you start. Work through the steps in order. Each step links to the guide that covers it in full.
Step 1: Order your POS hardware
Start here, because hardware can take time to arrive and most of the setup below is quicker than the delivery. Make sure you have the hardware that's right for your venue before you order.
ROLLER POS runs on Windows only. iPads and Mac computers aren't yet compatible. Check the hardware requirements before you order anything.
For leisure and entertainment venues with a capacity of 50 guests or higher, we recommend a computer, card terminal, barcode scanner, cash drawer and receipt printer for each POS station in your venue.
Check the hardware requirements so you order hardware that ROLLER supports.
If you're migrating to ROLLER from another platform, check whether your existing hardware meets the requirements.
Order your hardware for each POS station.
Step 2: Configure your account settings
While your hardware is on the way, get your account and products ready.
Check your key account settings are correct, including venue name, address, venue contacts, taxes and other account settings.
Create staff accounts so each of your staff members has a personal login account with a POS PIN.
Step 3: Create your products
Create your products ready to add to your POS menus.
Add images to stock items so you can browse your products easily on your POS device.
Add the barcodes of stock items so staff can scan items to add them to the cart.
Configure taxes or override tax settings for individual products, if a specific category of products needs it.
Step 4: Create your POS devices
Create a POS device in ROLLER for each physical POS station in your venue. You need this before you can add menus or select a device when you log in to POS.
Decide first whether to use a device template. A template keeps several POS devices on the same menu and settings, and templates are available on a Pro plan and above. A standalone device suits a POS station that needs its own menu.
Create your POS devices in Venue Manager. Set the device name, screen size and till float, and link the print stations or KDS devices this POS device sends orders to.
Create your POS templates if several POS devices share the same menu.
Step 5: Add your products to POS menus
Add products to a template to update every POS device linked to it, or to a single device when only that device needs the change.
Add products to a POS menu in your POS template. This updates all POS devices linked to the template.
Add products to a POS menu on a single POS device. This change applies to that device only.
Step 6: Configure your POS settings
POS settings sit in two places. Global settings apply to every POS device at your venue and you set them in Venue Manager. Device settings apply to one device and you set them from POS.
Set your global POS settings in Venue Manager, covering receipts, booking management, guest management and tipping. You need administrator access to Venue Manager.
Set your individual POS device settings from POS, covering tender and payment, cash drawer, printing, guest details and check-in.
Choose your printing method. Cloud printing is the current method. ROLLER Connect is the legacy method and doesn't support custom printed receipts or custom ticket templates.
Step 7: Set up your hardware in your venue
Once your hardware arrives, get it connected and tested before you open POS for the first time.
Configure your in-venue network so your hardware can connect to ROLLER.
Install your hardware and check everything is working as it should.
If you bought your POS hardware from another company, contact them with questions about the hardware itself.
Step 8: Launch POS and allocate your device
Log in to POS and allocate the POS device you created in step 4. You can use one POS device at a time on a computer.
Get an overview of what POS can do (Academy course).
Step 9: Configure card terminals
To take card payments from guests you need a payment solution. ROLLER offers its own, ROLLER Payments, which saves you paying extra transaction fees and lets you view your payouts from Venue Manager.
Set up ROLLER Payments terminals, then pair each terminal with the POS device it sits next to.
Step 10: Place some test orders
Put through a few transactions to check everything works and to get familiar with taking payments from your guests. Run a test for each type of transaction:
A card payment and a split payment, following Sell items and redeem discounts and memberships at POS.
If you get stuck at any step, contact your customer success manager or the support team.
